Job Description: Office Administration

Location: Cameron Highlands, Pahang

Key Responsibilities:

Day-to-Day Operations:

  • Oversee and manage the daily administrative operations of the office.
  • Coordinate and ensure smooth functioning of office activities and services.
  • Implement and maintain office policies and procedures.

Expenses Checking and Reconciliation:

  • Review and verify expense reports for accuracy and compliance with company policies.
  • Reconcile expenses and ensure timely submission of financial reports.
  • Work closely with the finance team to ensure accurate financial records.

Utilities Management:

  • Monitor and manage utility bills, ensuring timely payments.
  • Keep records of utility expenses and analyze usage trends for cost-saving opportunities.

Claims Management:

  • Handle lorry claims for logistics, ensuring all documentation is accurate and submitted on time.
  • Liaise with logistics providers and insurance companies to resolve any claim-related issues.
  • Maintain records of all claims and follow up on pending claims.

Daily Attendance:

  • Monitor and manage daily attendance records for all employees.
  • Ensure compliance with attendance policies and address any discrepancies.
  • Prepare and submit attendance reports to the HR department.

General Administration:

  • Provide administrative support to senior executives and other departments as needed.
  • Manage office supplies and inventory, ensuring adequate stock levels.
  • Coordinate meetings, appointments, and travel arrangements for staff.
  • Handle correspondence, phone calls, and emails, ensuring timely responses.

Qualifications:

  • Bachelor's degree in Business Administration, Office Management, or a related field.
  • Minimum of 3-5 years of experience in office administration or a similar role.
  • Strong organizational and multitasking skills.
  • Excellent attention to detail and problem-solving abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Knowledge of financial and accounting principles is a plus.
