Job Description: Office Administration
Location: Cameron Highlands, Pahang
Key Responsibilities:
Day-to-Day Operations:
- Oversee and manage the daily administrative operations of the office.
- Coordinate and ensure smooth functioning of office activities and services.
- Implement and maintain office policies and procedures.
Expenses Checking and Reconciliation:
- Review and verify expense reports for accuracy and compliance with company policies.
- Reconcile expenses and ensure timely submission of financial reports.
- Work closely with the finance team to ensure accurate financial records.
Utilities Management:
- Monitor and manage utility bills, ensuring timely payments.
- Keep records of utility expenses and analyze usage trends for cost-saving opportunities.
Claims Management:
- Handle lorry claims for logistics, ensuring all documentation is accurate and submitted on time.
- Liaise with logistics providers and insurance companies to resolve any claim-related issues.
- Maintain records of all claims and follow up on pending claims.
Daily Attendance:
- Monitor and manage daily attendance records for all employees.
- Ensure compliance with attendance policies and address any discrepancies.
- Prepare and submit attendance reports to the HR department.
General Administration:
- Provide administrative support to senior executives and other departments as needed.
- Manage office supplies and inventory, ensuring adequate stock levels.
- Coordinate meetings, appointments, and travel arrangements for staff.
- Handle correspondence, phone calls, and emails, ensuring timely responses.
Qualifications:
- Bachelor's degree in Business Administration, Office Management, or a related field.
- Minimum of 3-5 years of experience in office administration or a similar role.
- Strong organizational and multitasking skills.
- Excellent attention to detail and problem-solving abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Knowledge of financial and accounting principles is a plus.
