HR Specialist

Job Description

Duties and Responsibilities (be as detailed as possible) :

TIME MANAGEMENT:

  • Monitor employees’ adherence to time management practices and provide feedback.
  • Prepare reports on time management performance and present findings to senior management.
  • Conduct training sessions and workshops on time management techniques for employees.
  • Serve as a point of contact for employees with time management concerns and provide solutions.

LEAVE MANAGEMENT:

  • Manage and process employee leave requests, ensuring they are handled accurately and in a timely manner.
  • Maintain accurate records of all leave transactions in the HRIS system.
  • Ensure compliance with company leave policies and relevant labor laws.
  • Provide guidance and support to employees on leave options, eligibility, and processes.
  • Assist employees in completing necessary leave documentation and ensure proper documentation is maintained.
  • Generate and analyze reports on leave usage, trends, and compliance.
  • Provide insights and recommendations to senior management based on leave data.
  • Monitor and track leave balances and accruals to ensure accuracy.

PAYROLL MANAGEMENT:

  • Responsible for the preparation and processing of off cycle/end month cycle payroll for all company employees.
  • Ensure accurate and timely processing of payroll updates including new hires, terminations, and changes to employment terms and conditions.
  • Prepare and maintain accurate records and reports of payroll transactions.
  • Reconcile payroll accounts and ensure discrepancies are resolved in a timely manner.
  • Ensure the accuracy of benefits deductions and contributions.
  • Manage and resolve issues related to payroll and benefits in a timely manner.
  • Manage payroll software and systems used to process payroll, ensuring they are updated and function correctly.
  • Implement and update payroll processes and systems as needed to improve efficiency and accuracy.
  • Prepare and present detailed reports on payroll data to senior management.
  • Analyze and report on payroll trends and forecasts.

EMPLOYEE MOVEMENT:

  • Prepare documentations pertaining to internal employee transfers between departments and/or locations.
  • Oversee the promotion process, ensuring compliance with company policies and procedures.
  • Prepare documentations pertaining to promotion of employees.
  • Ensure compliance with relocation policies and manage related expenses.
  • Prepare documentations pertaining to relocation of employees.
  • Coordinate offboarding processes for employees leaving the company, ensuring all exit procedures are followed.
  • Prepare documentations pertaining to offboarding of employees.
  • Ensure all employee movements comply with company policies, labor laws, and regulations.
  • Maintain accurate records of all employee movements and update the HRIS system accordingly.
  • Provide insights and recommendations to senior management based on movement data.
  • Monitor and track employee movement activities to ensure accuracy and efficiency.

PERSONNEL FILE MANAGEMENT:

  • Create and maintain personnel files for all employees, ensuring they are complete, accurate, and up-to-date.
  • Organize and categorize documents within personnel files for easy access and retrieval.
  • Ensure all personnel files comply with legal requirements and company policies.
  • ollect and file essential employee documents such as contracts, performance reviews, disciplinary actions, and training records.
  • Ensure timely and accurate filing of documents received from employees, managers, and HR departments.
  • Scan and digitize paper records to maintain electronic personnel files.

MEDICAL, HEALTH & INSURANCE MANAGEMENT:

  • Manage and administer employee health and insurance benefits programs, including outpatient, inpatient, personnel accident and terminal illness.
  • Coordinate open enrollment processes, including communication and support to employees.
  • Process employee benefits enrollments, changes, and terminations accurately and timely.
  • Coordinate with Global Compensation & Benefits and Procurement teams on annual renewal.
  • Monitor and track benefits expenses to ensure they align with budgetary constraints.

AUDIT MANAGEMENT (Human Resources/Administration/Employees/Social Compliance Related):

  • Prepare and maintain comprehensive documentation for all audit activities.
  • Collect, organize, and review audit evidence and supporting documents.
  • Ensure all audit documentation is accurate, complete, and accessible.
  • Ensure the organization complies with all relevant laws, regulations, and standards.
  • Stay updated on changes in regulatory requirements and update audit processes accordingly.
  • Conduct regular compliance reviews and risk assessments to identify areas for improvement.
  • Serve as the primary point of contact for auditors and facilitate communication between auditors and the organization.
  • Schedule and organize audit meetings, interviews, and site visits.
  • Evaluate the effectiveness of internal controls and identify areas for improvement.
  • Work with departments to develop and implement improved control procedures.
  • Conduct follow-up audits to ensure the effectiveness of implemented controls.
  • Assist in identifying and assessing risks to the organization.
  • Develop and implement risk mitigation strategies and action plans.
  • Collaborate with various departments to ensure audit readiness and address audit findings.
  • Monitor and track the implementation of audit recommendations and corrective actions.
