YOUR ROLE AS A:

Being a receptionist would mean you’re the custodian of the Allstar (AirAsia employees) persona and internal branding. You’ll be the first point of contact for our employees and visitors, ensuring a welcoming and efficient front desk experience. Your role involves managing appointments, handling inquiries, and providing support with administrative tasks. Think of it this way, if there’s a House of Allstars, you’re the assistant Mother. Creating fun is your job, and your job will definitely be fun.

WHAT YOU’LL CHAMPION:

  • Greet clients and visitors with a positive, helpful attitude

  • Answering phone calls in a professional manner, and routing calls as necessary

  • Listing the caller's details in the CH worksheet for further followup.

  • Receiving and sorting gift, hamper, registered mails to CEO office (C level)

  • Assist on booking of meeting rooms

  • Cleaning audit for RedQ building on daily basis.

  • Stock check, control and record (stationary)

  • Managing budget for stationery and name cards (Monitor and track)

  • Copying, scanning and routing correspondence/documentation

  • Receive name cards and rubber stamp orders. Coordinate with the user department, proofreading and final submission.

  • Ensuring the lobby (mezzanine and waiting area in order)

Responsibilities to hiring manager

  • Be the key person handling front desk, front reception TV screens and LED in atrium (responsible to play internal promotions and events

  • Maintain security by following procedures and controlling access via the reception desk.

  • Answering of all incoming calls and to be forwarded respectively.

  • Distribution of name cards and stationery.

Responsibilities to Facilities Team

  • Set performance targets for responsible functions and ensure that those targets are met

  • Coordinate and maintain day to day front desk operations such as calls and registered mails and hampers

  • Lead continuous improvement effort and facilitate best-practice sharing

  • Develop and maintain good relationships with internal and external parties.

  • Support innovation and continuous improvement including promote best-practice within AirAsia

WHO YOU ARE:

  • High school certification (SPM/STPM) or Diploma in Office Management

  • Proven work experience as a Receptionist, Front Office Representative or similar role

  • Competency in Google Suites

  • Multitasking and time-management skills, with the ability to prioritize tasks

  • Excellent written and verbal communication skills

  • Familiarity with multi-line telephone systems
